Privacy Policy
1. Who we are
aesthetiQ is a product operated by Find Why Consulting Pty Ltd (ABN 72 663 024 342), trading as consultation.club (“aesthetiQ”, “we”, “us”, “our”). This Privacy Policy explains how we handle personal information collected through the aesthetiQ website at aesthetiq.consultation.club, the aesthetiQ quiz embedded on our clinic customers' websites, and the aesthetiQ clinic dashboard.

2. The two groups this policy covers
aesthetiQ is a tool that clinics place on their own websites, so we handle information about two groups.
Clinics and their staff are our customers. They create an account, configure the quiz, and receive leads.
Patients and prospective patientsare people who complete the quiz on a clinic's website. When someone completes the quiz, we collect their responses, store them, and provide them to the clinic whose quiz they used, so the clinic can follow up. Once a lead is delivered to a clinic, the clinic is responsible for how it handles that information.
The information collected through the quiz is contact and preference information used to generate a lead. It is personal information, and we handle it in line with the Australian Privacy Principles.
3. Information we collect
From clinics and their staff: name, email address, phone number, clinic name, role, and the treatment lists and preferences you configure. Card payments are processed by Stripe; we never see or store card numbers, only the subscription and billing metadata Stripe returns to us.
From patients who complete the quiz:
- Name and contact details, such as email address and phone number.
- Age range.
- The areas of the face selected as areas of concern, and the goals or statements chosen during the quiz.
- The photo uploaded or selected during the quiz. This image is stored (see Section 6).
Automatically, when you use the website or quiz: device and usage information such as IP address, browser type, and pages viewed, and information collected through cookies and analytics and advertising tools (see Section 8).
4. How we use information
We use personal information to operate and improve aesthetiQ, deliver quiz submissions to the relevant clinic as leads, manage clinic accounts and payments, provide support, communicate with clinics about their account, measure and improve how the service is used, and meet our legal and security obligations. We also use anonymised information, and anonymised representations of information, that do not identify any individual, to identify trends and improve the service. We do not sell personal information.
5. Where information is stored
Personal information collected through aesthetiQ, including quiz leads and images, is stored securely in Australia. Some of the analytics and advertising tools we use send information to recipients located overseas, including in the United States (see Sections 7 and 8).
6. The photo, and how to have information removed
The photo a patient provides during the quiz is stored as part of the lead. We keep quiz leads and images until removal is requested, or until the clinic's account is closed.
A clinic or a patient can ask us to remove a stored image or lead at any time by emailing [email protected], and we will action the request.
7. Who we share information with, and who helps us run aesthetiQ
We share quiz submissions with the clinic whose quiz the patient completed. Beyond that, we do not sell or share personal information for anyone else's marketing.
aesthetiQ is operated by our own team. To run the service we use a small number of technology providers, including cloud hosting located in Australia, an email service to deliver lead notifications to clinics, and analytics and advertising tools. The analytics and advertising tools we use are Google (Google Analytics and Google Tag Manager), Meta (a Facebook pixel), and PostHog. Some of these tools send information about how the website and quiz are used to recipients located overseas, including in the United States.
We may also disclose information where required by law, or to a buyer or successor if our business is sold or transferred.
8. Cookies and analytics
We use cookies and similar technologies to run the website and quiz, and to measure and understand usage and marketing through Google Analytics, Google Tag Manager, a Meta (Facebook) pixel, and PostHog. Some of these tools send information to recipients located overseas, including in the United States. You can control or disable cookies through your browser settings.
9. How long we keep information
We keep clinic account information for as long as the account is open, and for a reasonable period afterwards. We keep quiz leads and images until removal is requested by the clinic or the patient, or the clinic's account is closed.
10. Security
Personal information is stored securely in Australia, with appropriate access controls. No system connected to the internet can be guaranteed completely secure, but we take reasonable steps to protect the information we hold.
11. Your rights
You can ask us to access, correct, or remove personal information we hold about you by emailing [email protected]. If you completed a quiz, a copy of your lead will also have been provided to the clinic you engaged with, so you may need to contact that clinic as well.
If you are in Australia and are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
12. People outside Australia
aesthetiQ is based in Australia and also offers its service to clinics in the United Kingdom, the European Union, and the United States. Where we handle the personal information of people located in those places, data protection laws including the UK and EU General Data Protection Regulation and applicable United States state privacy laws may apply, and we handle information in line with our obligations under them.
13. Changes
We may update this policy from time to time. When we do, we will change the “Last updated” date above.
